Executive Assistant – Real Estate

Position Summary

We are seeking an experienced and organized Executive Assistant to support senior leadership in our real estate operations. The ideal candidate will provide high-level administrative support, assist with property management coordination activities, and uphold excellent communication with internal teams, clients, tenants, and vendors. This role requires a proactive problem-solver with strong attention to detail and the ability to manage multiple priorities in a fast-paced real estate environment.

Key Responsibilities

Administrative Support

  • Provide high-level administrative assistance to executive leadership including calendar management, email correspondence, travel arrangements, and meeting coordination.
  • Draft, edit, and prepare professional business communications (emails, memos, presentations, reports).
  • Real Estate Operations
  • Coordinate scheduling and logistics for property showings, inspections, and tenant meetings.
  • Assist with lease documentation and ensure accurate record keeping of contracts, renewals, and tenant files.
  • Support tenant and owner inquiries, delivering timely, professional responses.

 

Communication & Relationship Management

Act as a liaison between leadership, team members, clients, tenants, and external partners.

  • Maintain organized communication channels and ensure messages are tracked and executed.
  • Coordination & Project Support
  • Coordinate vendor and maintenance schedules as needed and follow up on task completion.
  • Assist with special projects related to administrative improvements, marketing campaigns, and operational initiatives.

Qualifications

  • Experience: 2–5 years in executive support or administrative roles, preferably within real estate, property management, or related industries.
  • Communication Skills: Excellent written and verbal communication skills with a professional phone presence.
  • Organizational Skills: Strong ability to manage multiple tasks, priorities, and deadlines with minimal supervision.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort using real estate databases or property portals.
  • Interpersonal Skills: Professional demeanor with strong relationship-building abilities and a client-centric approach.

Preferred (Optional)

  • Prior experience supporting executive leadership in a real estate or property management setting.
  • Familiarity with lease administration, CRM/MLS systems, and online tenant portals.
