About the Role
CrucialPoint is seeking a detail-oriented, proactive, and highly organized Assistant & Project Manager to support our Chief of Staff and broader leadership team. This role is critical to keeping our internal operations running smoothly, ensuring projects stay on track, and helping manage the day-to-day administrative and project workflows across the agency.

Key Responsibilities
Project Management & Coordination
- Manage tasks and workflows inside ClickUp, ensuring assignments are accurate, deadlines are clear, and all necessary information is included.
- Monitor project progress and follow up with team members proactively to prevent overdue tasks.
- Maintain and improve project organization structures (task lists, folders, documentation, SOPs).
- Assist in building, refining, and documenting internal processes and SOPs.
- Flag bottlenecks or potential blockers early and escalate when needed.
Administrative & Executive Support
- Assist the Chief of Staff with administrative tasks, planning, coordination, and documentation.
- Prepare meeting notes, summaries, follow-up lists, and light reporting as needed.
- Draft, edit, and organize internal documents, including onboarding materials, checklists, and templates.
Communication & Team Support
- Act as a communication bridge between leadership, Account Managers, and team members.
- Help coordinate internal meetings, agendas, and follow-ups.
- Maintain a high level of professionalism when interacting with internal staff and external stakeholders.
- Ensure updates, reminders, and follow-up communications are sent out consistently and clearly.
Quality Assurance & Consistency
- Conduct basic quality checks on completed tasks (correct attachments, correct folder, correct formatting, etc.).
- Verify that tasks meet internal standards before they are submitted to clients.
- Support the Chief of Staff in identifying gaps, mistakes, or inefficiencies in workflows.
General Support
- Assist with recurring administrative needs.
- Support internal operations, onboarding, and talent processes when needed.
- Perform additional tasks as assigned to keep operations running smoothly.
Required Skills & Qualifications
- Strong organizational skills and the ability to juggle multiple projects without dropping details.
- Excellent communication (clear written communication is critical).
- Proficiency with project management tools, ideally ClickUp
- Tech-savvy and comfortable learning new systems quickly.
- Strong time management and ability to meet deadlines without being chased.
- Problem-solving mindset — able to see what’s missing, inconsistent, or unclear and fix it.
- Proactive and self-directed, not someone who waits for tasks to be handed to them.
- High attention to detail (accuracy is extremely important in this role).
- Able to handle confidential information with discretion.
- Must be able to work during Eastern or Mountain business hours and eligible to work as a contractor.
Nice-to-Have Skills
- Experience supporting executives or operations teams.
- Familiarity with retention marketing, creative/marketing agencies, or similar environments.
- Experience with Google Workspace.
- Ability to write SOPs or process documentation.

This is a remote 1099 contract role. The contractor must have reasonable availability for collaboration, communication, and meetings during Eastern or Mountain business hours. Compensation is $13–$17 per hour for up to 20 hours per week, depending on workload and project needs.
